For a contract, contract-to-hire, or a direct hire, you will be, or should have, already spoken with an ICON recruiter about the job scope and what our client is looking for. Once you land the job interview, an ICON recruiting coordinator will be in touch offering you your new job! From there, the recruiting coordinator will set you up for your onboarding and, if applicable, drug screen and background check. During the onboarding process, you will be work within our online portal and this is when you will complete the documents including, but not limited to, W4, State Tax form, if applicable, payment method, E-Verify documents, ICON required forms, and client required forms. Once you have completed all paperwork, you are almost done! We will enter your information into our payrolling system about one week after you started work. Once you are loaded into the payroll system, you will receive an automatic email for our employee self-service website, called MyPay, where you will elect your benefits 10 days from your date of hire, view your deductions, paycheck stubs, taxes, year-end tax documents, and so much more!
Now that we know you are safely and hard at work at our client’s site, we remain in the background until you need us. The Human Resource’s department will send you emails, so please make sure your personal information is correct in MyPay. ICON is your employer, we are asking that if you have any questions or concerns about your employment to please reach out to your ICON Recruiting Coordinator immediately.
You are simply working for ICON at our client’s location; ICON is your employer of record therefore we handle things that affects your employment, employment status, employment history. You report your day-to-day work activities to your manager. Your ICON Recruiting Coordinator is your main ICON representative for whom you should contact if you are curious about your pay, if you get injured on the job while working, if you are asking about health insurance or benefits, if you experience any type of harassment, or anything about your employment at our client site.
Any unemployment claims must be filed at the appropriate Workforce Commission location and in compliance with their rules and regulations. All employees are covered in the State in which they work.
Pay day is every Friday, for a total of 52 pay periods per year; all employee are paid one (1) week in arrears. Should the pay day fall on a holiday, paychecks will be deposited and distributed on Thursday.
ICON employees are required to submit all time via the time keeping system by end of business day on the Friday prior to the pay week. It is the employees responsibility to ensure that their manager approves the time submitted by noon on the following Monday. If the time is not submitted and/or approved by the deadlines, then the employee will receive the pay the following pay period. For example, an employee must submit their time Friday January 7th and the manager must approve by Monday January 10th; if the time is not approved then the employee will receive that pay on Friday January 21.
At any time you have issues in which you cannot get your time approved, such as your listed approving manager is no longer the approving manager for your timesheet or your timesheet has expired, please immediately reach out to ICON by emailing firstname.lastname@example.org or calling to speak with someone in the payroll department at (713) 438-0919.
ICON offers employees three methods to receiving paycheck payments, which is initially completing during the employees on-boarding process but may be updated by contacting an ICON recruiting coordinator at any time:
- Live checks will be mailed to the address that was completed on your W4 (not preferred)
- Electronic deposit via ACH of funds will be deposited into the US bank account of your choice; please check with your bank to see if ACH is available as Automated Clearing House is the only electronic deposit available, no wire transfers nor foreign bank transactions permitted. ICON will not be responsible for overdrafts on your account or incorrect banking information listed on your direct deposit form which is completed during onboarding. When completing the direct deposit form, you must have the banking/routing number and your account number readily available.
- Visa Direct, like a debit card, which contains transactions fees, if you do not have a bank account.
If an employee elects to have a live check as the method to receive the paycheck, ICON asks that all employees give the checks that are mailed at the least 10 business days to arrive at the mailing address that has been provided to ICON. If the check does not arrive in 10 business days, please contact ICON (email@example.com) and we will research the status of the payroll check. Checks not reaching an employee, due to circumstances outside of our control (i.e. weather, carrier delivery problems, etc.), will not be issued a separate, emergency paycheck.
Close to 95% of ICON employees use direct deposit. It is a fast and secure way to receive your wages. With direct deposit, the risk of losing your check, having a delay in receiving payment, or your information falling into the wrong hands is greatly reduced. Please contact your ICON recruiting coordinator to enroll or change your direct deposit information!
In accordance with FLSA, ICON keeps all payroll records for at least three (3) years. In accordance with the IRS, ICON keeps records of employment taxes for at least four (4) years after filing the fourth quarter of the year.
ICON does not provide any tax advice; please refer to a/your tax accountant.
For payroll retaining purposes the completion of a new W4 is always needed when there is a tax deductible change therefore please reach out to an ICON recruiting coordinator so you can complete a new W4.
